Call to Order:

KLSDArtsALIVE Co-President Colleen Cerami called the regular meeting of the KLSD ArtsALIVE Board to order at 7:05 p.m. at the John Jay Middle School conference room.

Welcome

Colleen welcomed those in attendance and turned the meeting over to Julie Oyen who had important information to share with the group. Julie announced that after four years with ArtsALIVE, two of which she served as president and co-president respectfully, she would not be returning next year. She has met her 2-year commitment in the role of president and now needed to focus on family, her job and other personal commitments. She added that she is confident the Board will continue to forge ahead and do great things for arts in the KLSD district.

Colleen thanked Julie for all her support of ArtsALIVE and stated she hoped Julie would still be part of the ArtsALIVE community as a parent.

Minutes

Due to a technical issue, the April minutes were not able to be posted to Board resources. The group agreed to table voting in the minutes until the June meeting.

KLSD Events

Rock the Halls Recap

Maureen reported Rock the Halls was a great success. The concert was sold out with tickets being available both in advance online and that night at the door. Ticket sales were so strong some individuals had to be turned away at the door. It was discussed that more volunteers will be needed to help with ticket sales next year the night of the concert.

Maureen acknowledged the JJMS PTO for sending out an email blast, which made a very good impression and helped promote the event. The concert’s program was beautifully designed and it was suggested to frame one so it could be displayed. Concessions were very popular, as well; the pizza quickly sold out. Katonah-Lewisboro Times came and took pictures and video. Colleen wholeheartedly thanked Maureen for chairing the event.

Reflections

Colleen reported on the Reflections breakfast featuring 10 students reading their literary pieces. Colleen added it’s a great opportunity to share the students’ work with their peers

Vocal Jazz Berklee Recognition

Julie reported the Vocal Jazz students were presented with the sweatshirts purchased by ArtsALIVE at their year-end concert. She recognized the incredible work of the students during a brief presentation at the concert.

Spring Concert Series

Concerts through the end of the year are being promoting on KLSDAA and district websites; all are encouraged to attend.

One Act Plays

Amanda Urban provided PR materials for the shows; Tri-M will likely handle concessions.

JJHS Variety Show

Liz Gebbia will chair the event and work with Vinnie on getting a cast list and promotional materials. The posting just went up for auditions and Vinnie will email Steve Morse to get students’ names as soon as they’re available. The show is June 7th and 8th. KLSDAA will cover concessions and flowers; Alison Ganis will manage concessions and Liz will take the lead on the flowers.

Meet and Greet – KLSDAA Opportunity

Monica Bermiss asked if KLSDAA would like to participate in a middle school evening event scheduled at the beginning of next year. Tentatively set for September 17th at 7:00pm, it would potentially take place outside in the JJMS bus circle and KLSDAA could have a table and create awareness about the organization. All middle school families would be invited.

Student Board Update

The most recent meeting took place on 5/14 and currently all student members are returning next year. Amanda Urban will be the staff monitor. Sawyer Reed will be moving from music to Reflections, so there will be a music open spot for another student.

On behalf of Angelina, Colleen asked if the student board can participate in JJHS Club Fair. Vinnie suggested talking to Kim Piccolino and Lucy Libertore to get KLSDAA on the list of participating committees. The Club Fair is usually scheduled for the 2nd full day of school, but the date has not yet been set.

Wall of the Arts

Barbara will send a flyer out again shortly soliciting JJHS parents to purchase plaques. She mentioned she is trying to reach Greg Clarke trophies to discuss the new order, as well as determine the exact number of characters available per line. We also need to ensure PayPal is working properly to accept payment. The plates need to be at JJHS by June 7th in order to be mounted in time for the June KLSDAA reception.

Vinnie will measure the plates and get back to Barbara. A discussion ensued about what amount to charge for a larger plaque. Perhaps Greg Clarke can re-format the plaque so more text will still fit in the current size. The Board also voted on whether or not to increase the price if the size has to change. The Board decided if the cost stays under $50 for a larger size, then we will not charge more. Barbara motioned on this, which was seconded by Amanda.

Upcoming Community Events

There will be Community Teen Night at Lewisboro Library on May 16th during which JJHS acapella groups and rock bands will perform. There will be a suggested donation of $5 at the door to benefit KLSDAA. ArtsALIVE board member Kathleen Fay helped to orchestrate this event as she is also a library board member.

Senior Recognition Night will take place in auditorium on June 3 at 7:00 p.m.  Vinnie reviewed the list of recipients, which includes recognition for excellence in academic, arts, sports, community service, etc. There will be monetary and non-monetary awards from a variety of organizations, as well as departmental recognition. Maureen will attend and will try to get a picture of the KLSDAA scholarship winners. Names of KLSDAA scholarship winners should be kept confidential until the 6/3 event.

June 11th year-end board meeting and recognition event

The group discussed inviting students and scholarship award winners, as well as honoring Steve Morse and Judy Offenburg, both of whom are retiring. The afternoon will start with the board meeting at 4:00 at JJHS in the conference room, during which the new board will be voted in. Following this brief session, the meeting will adjourn and the group will go to art gallery and have a recognition ceremony and reception. Some students will sing and Amy Geiger will organize this performance.

Vinnie put in a request to the counseling department for names of all students that are going on to study the arts in college so they can be recognized. Dr. Siciliano will be speak at the reception and Vinnie will invite Gil Kass. Sarah McMahon will contact any college-aged JJHS alumni who might want to attend. There will also be invites for Steve and Judy’s music and art colleagues. It will be a more formal invite to those colleagues. Alison will put together a sign-up genius for food.

Slate of Officers – 2019-2020

Colleen reviewed the slate of officers that will be voted on at the June meeting. She added that Topaz is joining as a voting board member. Colleen also explained that committee leaders are not voting positions and she will be working on recruitment over the next few weeks.

Other Business

  • Monica gave an update on an ArtsAlive-funded trip to Lincoln Center for 7th and 8th grade orchestra students, during which they saw the New York Philharmonic. She noted it was a great trip and has pictures that can be posted on the KLSDAA website, facebook page and in the KLSDAA newsletter as long as we have media releases for the students.
  • Rite of Spring was covered in the Katonah-Lewisboro Times – great article and several pictures of students and their work.
  • Julie noted we need to contact JJMS to let them know the money is available to purchase art gallery brackets. She explained the district makes the purchase and then KLSDAA reimburses it as a donation to cover the cost. As this is not considered a grant, it gets gifted back to the district.
